Transforming Ocean Club Key Biscayne's Executive Boardroom into a State-of-the-Art Collaboration Environment
Prior to the project, Ocean Club Key Biscayne relied on an aging audiovisual system that no longer met the demands of modern board meetings. Board members, management staff, and remote participants frequently experienced limitations related to video conferencing performance, audio quality, and overall meeting efficiency. As hybrid collaboration became increasingly important, existing technology created obstacles that affected both in-room and remote meeting experiences.
Beyond the technology challenges, the project environment introduced additional complexities. The boardroom is located in a luxury property with sophisticated interior finishes and daily use. Any modernization effort required careful planning to preserve the space’s aesthetics while minimizing disruption to ongoing operations. The room also serves multiple functions beyond board meetings, requiring a solution flexibly enough to accommodate presentations, special events, and evolving operational needs.
The client's vision was to create a state-of-the-art collaboration environment that would combine reliability, simplicity, and future-ready functionality while maintaining the elegance and integrity of the existing space.
Following a collaborative discovery process with board members and management staff, ProAV.Miami developed a customized technology strategy focused on reliability, ease of use, and long-term flexibility. Multiple design approaches were evaluated to ensure the final solution would support executive board meetings, hybrid collaboration, and a variety of future event configurations.
The resulting system integrates professional PTZ cameras, advanced wireless microphones, enterprise-grade audio processing, flexible video distribution, and intuitive touchscreen control into a unified platform designed to simplify meeting operations while enhancing the experience for both in-room and remote participants.
Once approved, the project entered an accelerated procurement and deployment phase. Through careful planning and logistics management, all equipment was sourced, delivered, installed, programmed, and commissioned in less than 30 days. Installation required exceptional attention to detail due to the occupied nature of the facility and its luxury finishes. By utilizing concealed wiring pathways, minimizing wall modifications, and executing precise workmanship throughout the project, the team successfully delivered a seamless integration that exceeded client expectations.
Today, the boardroom serves as a reliable collaboration environment for executive meetings while also providing the flexibility to support presentations, special events, and future operational needs.
